Plaidoyer Victimes is subject to the Act respecting the protection of personal information in the private sector.

Plaidoyer Victimes recognizes the importance of privacy and is committed to limiting the collection of information to that which is necessary. The purpose of this policy is to inform you of the safeguards established to protect the personal information you entrust to Plaidoyer Victimes, through the Web or by any other means, all in compliance with the law.

1. General principles

As part of its activities, and with your consent, Plaidoyer Victimes may collect personal information and use it for the purposes described in section 6.

The purpose of this policy is to clearly explain how Plaidoyer Victimes collects and processes your personal information, including the data you provide when becoming a member, making a donation or subscribing to our newsletter, for example.

This policy and our personal information management practices apply to the entire organization, including Plaidoyer Victimes employees and volunteers.

Personal information is any information concerning a natural person that enables that person to be identified, directly or indirectly. Regardless of the nature of its medium or form of accessibility (written, graphic, sound, visual, computerized), all personal data is covered by this policy. However, this does not include business contact information or data that has been anonymized for legitimate and serious purposes.

Your consent to the use or disclosure of the personal information provided must be given explicitly. Consent will be valid for the specific purpose for which it was given. Consent will be valid for the time required to achieve the purpose for which it was given. Your consent may be withdrawn at any time, as indicated in section 8.3. of this policy.

4. The personal information Plaidoyer Victimes may collect about you

Plaidoyer Victimes may collect, hold, use, transfer and disclose certain personal information about you, depending on the purpose for which it is provided. This personal information is grouped as follows:

  • Identity data: first name, last name, title, user name or similar identifier, date of birth, gender, marital status and information appearing on a valid form of identification, such as a driver’s license, and, for tax purposes, a social insurance number or passport;
  • Contact data: postal and/or delivery address, billing address, e-mail address and telephone number;
  • Payment data: payment card details (credit or debit) and checks;
  • Donation data: details and history of donations made;
  • Service data: details of the services you have obtained from Plaidoyer Victimes;
  • Technical data: Internet Protocol (IP) address, connection data, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform and other technologies on the devices you use to access our websites;
  • Usage data: information about how you use our websites and services;
  • Marketing and communication data: preferences for receiving communications from us and our third parties, and communication preferences. This also includes the fact that we may keep a record of conversations we have had with you in person and/or communications you have sent to Victim Advocacy. This helps us manage our relationship with you and ensure that you only receive communications that are relevant and tailored to your preferences;
  • Data relating to job applicants: all the data you have submitted to us through a job offer.

5. How Plaidoyer Victimes collects your personal information

Plaidoyer Victimes collects personal information in a variety of ways.

5.1. Information you give us

Personal information is collected primarily when you use Plaidoyer Victimes’ services and voluntarily provide your personal information.

For example in :

  • by becoming a member or renewing your membership;
  • participating in an event or activity;
  • subscribe to electronic communications, such as the newsletter;
  • purchasing a publication or training course;
  • by making a donation;
  • sending a question or comment by any means of communication;
  • becoming a volunteer for Plaidoyer Victimes.

5.2. Automated technologies or interactions

When you interact with Plaidoyer Victimes websites, technical data about your equipment, actions and browsing patterns may, with your consent, be collected using cookies and other similar technologies.

The use of cookies is common practice. They are files that contain certain data about the person visiting a Web site. Cookies are stored on the user’s computer or on the hard drive of another device. 6. Purposes of collecting personal information

The personal information you provide to Plaidoyer Victimes will be used for the following purposes, depending on the purpose for which consent was given:

  • Follow-up on your membership application or renewal;
  • Follow up on your publications order;
  • Process your registration for a training activity or event;
  • Communicate with you periodically in writing, verbally or electronically to inform you of Plaidoyer Victimes activities and events;
  • Solicit your participation in a survey;
  • Allow you to identify and authenticate yourself in Plaidoyer Victimes’ computer and cloud-based system in order to facilitate transactions;
  • Allow Plaidoyer Victimes to thank you for your donation and prepare the tax receipt in compliance with tax laws;
  • Maintain and analyze statistics on our customers, members and partners in order to improve our websites, services and communications;
  • Offer relevant advertising and content on external websites, social platforms or in its newsletter, and measure advertising effectiveness;
  • To enable Plaidoyer Victimes to provide a service adapted to the needs of its members and partners;
  • Receive and analyze job applications;
  • Follow up on the hiring of an employee or a service agreement with a self-employed worker;
  • Fulfill legal obligations regarding volunteer management.

7. Use, retention and disclosure of your personal information

7.1. Use of your personal information

Your personal information will only be used for the purposes for which it was collected, as specified in section 6.

7.2. Retention of your personal information

Your personal data will be kept confidential for as long as is necessary for the purposes for which it was collected, including any legal, accounting or reporting requirements.

Your personal information will be stored either physically on Plaidoyer Victimes’ premises, digitally on Plaidoyer Victimes’ computer equipment or digitally in the cloud-based system used by Plaidoyer Victimes.

Plaidoyer Victimes ensures that your personal information is protected at all times by appropriate physical, organizational and technological security measures. In addition, Plaidoyer Victimes limits access to personal information to authorized persons, according to the security levels specified in section 7.4.

7.3. Disclosure of your personal information

Plaidoyer Victimes may disclose your personal information to third parties in the following cases:

To service providers who, by virtue of a service contract, assist Plaidoyer Victimes in their activities solely for the purposes provided for by law. Plaidoyer Victimes does not authorize its third-party service providers to use your personal information for their own purposes and only authorizes them to process it for specific purposes and in accordance with our instructions;

In all cases where, under the Act respecting the protection of personal information in the private sector, personal information may be disclosed without prior authorization.

Plaidoyer Victimes ensures, within reasonable limits, that these third parties respect the rules and commitments of the present policy by taking the necessary measures.

7.4. Staff access to your personal information

Plaidoyer Victimes has taken measures to ensure the utmost protection of your personal information. To this end, we have established three levels of security:

  • Very high level: category of personnel with access to all your personal information;
  • High level: category of personnel with access to some of your personal information;
  • Basic level: category of personnel with access to a minimum of personal information.

8. Your legal rights

8.1. Right of access to your personal information

Subject to the conditions and exemptions provided by law, Plaidoyer Victimes gives you access to the personal information it holds about you. Upon request, Plaidoyer Victimes will inform you of the personal information it holds and how it is used, and will allow you to consult it.

8.2. Right to correct or delete personal information

You have the right to correct personal information that Plaidoyer Victimes has collected if such information is inaccurate, incomplete, equivocal, outdated or not justified by the purposes described in section 6 of this policy.

You also have the right to have any personal information that Plaidoyer Victimes has collected deleted.

To do so, please refer to section 11.

8.3. Right to withdraw consent

Where Plaidoyer Victimes relies on your consent to process your personal information, you have the right to withdraw your consent at any time. However, this will not affect the lawfulness of any processing carried out prior to the withdrawal of your consent. If you withdraw your consent, Plaidoyer Victimes may no longer be able to provide you with certain services.

9. Inquiries and complaints

Any request for access, correction or deletion or any complaint relating to the implementation of this policy must be made in writing and accompanied by proof of identity.

Upon receipt of a request or complaint, Plaidoyer Victimes undertakes to respond within 30 days.

12. Declaration

Upon reading this Privacy Policy and confirming that he/she agrees with it, any person whose personal information is collected hereby declares that he/she understands that he/she has been given the opportunity to refuse to allow Plaidoyer Victimes to collect such information about him/her and also confirms that :

  • that she agrees that Plaidoyer Victimes may collect and share her personal information for the purposes described in section 6 of this policy;
  • that she/he accepts that certain information concerning her/him be transmitted to third parties or partners of Plaidoyer Victimes, solely for the purposes described in section 6 of this policy;
  • that she understands that this consent is revocable.
